Location: San Francisco, CA 94107
Work Schedule: Hybrid (in-office 3 days per week: Monday, Tuesday, and Thursday), 7-month contract
Compensation: $45.00 - $61.00 per hour
Position Summary:
We are seeking a highly experienced, energetic, and self-motivated Executive Assistant to provide strategic and operational support to senior sales leaders in a fast-paced, revenue-driven organization. This role involves managing complex schedules, coordinating international travel, preparing high-impact presentations, and supporting key initiatives to enhance leadership efficiency. As a vital partner, you will play an essential role in driving organizational success by handling highly confidential responsibilities with professionalism, poise, and proactive problem-solving. Key Responsibilities:
- Perform extensive calendar management and prioritization across multiple time zones for senior executives.
- Prepare domestic and international travel arrangements, itineraries, and timely expense reports.
- Manage all forms of daily correspondence, ensuring professional, timely responses with high confidentiality.
- Collaborate on and oversee key projects and priorities across various functions.
- Lead the planning and coordination of presentations, meetings, and strategic communications.
- Plan and execute high-profile events, off-sites, and special functions with creativity and precision, including venue contracting and budget management.
- Manage the executive customer-meeting program during the annual conference, coordinating private meetings, onsite flow, and logistics.
- Administer the department’s recognition program (High5s), including nominations, approvals, and budget tracking.
- Support weekly pipeline and forecast calls, ensuring smooth logistics and follow-up.
- Coordinate interview schedules for Sales hiring across multiple time zones.
- Manage cross-region calendar coordination between North America and EMEA sales leadership.
- Attend and support key meetings by developing agendas, taking notes, and tracking action items.
- Partner with Workplace, Events, and IT teams to facilitate logistics support.
- Build and maintain strong relationships across the organization, serving as a trusted, proactive connector.
- Serve as a senior member of the EA team, providing mentorship and strategic input.
- Support ad-hoc projects and initiatives as needed.
Required Qualifications:
- Minimum of 5+ years supporting VP or C-level leaders, preferably in enterprise SaaS sales or technology organizations.
- Proven success managing multiple high-stakes priorities and complex, multi-day corporate events with budget responsibility.
- Experience supporting a dynamic, metrics-oriented sales environment with frequent schedule changes.
- Exceptional organizational skills and a solutions-oriented mindset.
- Polished communication with high emotional intelligence and impeccable discretion.
- Proficiency with productivity and collaboration tools including Google Workspace, Slack, Zoom, and Navan.
- Familiarity with Salesforce, procurement/expense tools (ZIP or equivalent), and event/travel logistics platforms is a plus.
- Ability to thrive under pressure while maintaining a calm, steady demeanor.
