Event Marketing Specialist (Third-Party Events)

Location: San Francisco, CA (Remote)
Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM, Remote
Compensation: $30.00 - $35.46 per hour

Position Summary:
We are seeking a highly organized and execution-focused Contract Event Marketing Specialist to support the planning and execution of third-party industry events. This remote role involves collaborating closely with the Event Marketing Manager to coordinate logistics, manage cross-functional deliverables, and ensure seamless on-site operations. The ideal candidate excels in fast-paced environments, thrives on managing details, and is committed to executing complex projects with precision. While the Event Marketing Manager sets the overall strategy, this role is pivotal in turning those strategies into successful events through exceptional operational execution.

Key Responsibilities:

• Event Execution & Logistics:

  • Support the end-to-end execution of 10-15 third-party industry events annually.
  • Manage project timelines, workback schedules, and deliverable tracking to ensure deadlines are met.
  • Coordinate venue logistics, shipping, vendor communications, and onsite operations.
  • Handle registration processes, attendee communications, and maintain detailed event documentation.
  • Manage hotel rooming lists, staffing logistics, and travel arrangements to support event success.

• Cross-Functional Project Management:

  • Partner with key stakeholders to ensure all event deliverables are completed on schedule.
  • Oversee the production and timely delivery of assets, signage, giveaways, demonstrations, and collateral materials.

• Operational Excellence:

  • Maintain comprehensive project documentation and standard operating procedures.
  • Track key performance indicators for each event and support post-event reporting efforts.
  • Assist with onsite event activities, including occasional travel to event locations.

Required Qualifications:

• Minimum of 3 years of experience in event marketing, event planning, or project management.
• Proven ability to independently manage logistics for conferences, trade shows, or corporate events, including vendor coordination, shipping, registration, and on-site operations.
• Strong project management skills with experience building workback schedules, tracking deliverables, and aligning multiple stakeholders to deadlines.
• Demonstrated ability to manage multiple events simultaneously in a fast-paced environment, maintaining high attention to detail and quality standards.
• Excellent communication and stakeholder management skills, with experience partnering with marketing, sales, executives, and external vendors.
• Proactive problem-solver who anticipates risks and drives clear action plans rather than reacting last minute.
• Proficiency with CRM and project management tools (e.g., Salesforce, Asana, or similar platforms).

Preferred Skills & Experience:

• Experience supporting remote teams and handling virtual event logistics.
• Prior experience working with third-party vendors and external partners.
• Strong organizational skills with the ability to prioritize competing demands effectively.
• Ability to adapt quickly and troubleshoot issues efficiently in dynamic environments.
