Location: New York, NY 10011
Work Schedule: Full-time, Monday–Friday, 8:30 am to 5:00 pm
Compensation: $30.00 to $35.00 per hour
Position Summary:
We are seeking a proactive and highly organized Workplace Operations Coordinator to join our newly opened NYC office. In this onsite contract role, you will play a vital part in ensuring smooth daily operations, creating a welcoming environment, and delivering an exceptional employee experience. The ideal candidate will thrive in a fast-paced setting, managing vendor relationships, coordinating office processes, and supporting internal events to foster a vibrant and efficient workspace.
Key Responsibilities:
- Serve as the primary onsite point of contact for the NYC office (~40 employees), ensuring operational excellence and a welcoming atmosphere
- Oversee daily office operations, maintaining cleanliness, organization, and full functionality of the workspace
- Coordinate vendor services, including janitorial, facilities, food & beverage, and day porter, ensuring high service standards
- Manage building-related activities such as security protocols, visitor access, and delivery logistics
- Support employee onboarding, internal events, and workplace programming to enhance the employee experience
- Act as the central communication hub via Slack, fostering clear and strong inter-team collaboration
- Assist with office setup, process improvements, and the development of workplace policies and handbooks
- Proactively identify operational challenges and implement solutions to ensure seamless office functioning
Required Qualifications:
- 3 or more years of experience in workplace operations, office coordination, or hospitality roles
- Strong organizational and multitasking skills with a solutions-oriented mindset
- Excellent communication and interpersonal skills, with a polished, professional presence
- Ability to operate independently with sound judgment and minimal supervision
- Experience managing vendor relationships and event coordination
- Proficiency in Google Workspace (Gmail, Calendar, Docs) and Slack or similar communication tools
- Resilient and adaptable in a fast-paced, high-demand environment
Preferred Skills & Experience:
- 3–5+ years of relevant experience in office management or hospitality-driven roles
- Demonstrated ability to support internal events and employee engagement initiatives
- Familiarity with building security procedures and logistics management
- Strong people skills and a customer-focused approach to workplace support
- Prior experience creating workplace manuals, guides, or handbooks
