Location: Austin, TX

Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM, Onsite 6-month contract

Compensation: $27-$30 per hour


We are seeking a proactive and organized Office Operations Coordinator to support day-to-day workplace operations at our regional hub in Austin. This role will help maintain a clean, safe, and welcoming workplace while supporting vendor coordination, office processes, space needs, and onsite events.

The ideal candidate is someone with 1-2 years of experience in office operations, workplace coordination, facilities support, hospitality, or a similar fast-paced environment. This is a hands-on role that offers the opportunity to work cross-functionally with teams including IT, security, legal, and events while developing broader workplace operations experience.

Key Responsibilities

  • Vendor Coordination & Site Readiness: Serve as an onsite point of contact for janitorial, porter, and other workplace service vendors. Conduct regular walkthroughs to identify and address cleanliness, maintenance, and service issues, and escalate concerns when needed.
  • Office Operations & Documentation: Maintain operational guides, procedures, checklists, and other workplace documentation. Help manage office requests and tickets through systems such as Jira, ServiceNow, or similar platforms.
  • Inventory & Workplace Support: Assist with tracking office supplies, equipment, furniture, and other workplace resources. Help identify workplace needs and coordinate solutions with internal teams and vendors.
  • Space & Workplace Coordination: Support seating arrangements, workspace changes, and general office organization. Assist with gathering information on space usage and workplace needs to support planning.
  • Onsite Event Support: Coordinate logistics for onsite meetings, team events, executive visits, and other workplace activities. Assist with catering, seating, building access, room setup, and coordination with internal event partners and local stakeholders.
  • Cross-Functional Collaboration: Partner with IT, security, legal, building management, and other teams to help resolve workplace issues and ensure a positive employee experience.
  • Process Improvement: Identify opportunities to improve day-to-day office processes and workflows. Assist with implementing practical improvements to increase efficiency and organization.
  • Workplace Experience: Help ensure the office is clean, organized, functional, and ready to support employees and visitors on a daily basis.

Required Qualifications

  • 2–3 years of experience in office operations, workplace coordination, facilities support, hospitality, administrative operations, or a related field.
  • Experience working in a fast-paced office, corporate, hospitality, or customer-facing environment.
  • Experience coordinating with external vendors or service providers.
  • Strong organizational skills with the ability to manage multiple priorities and follow through on tasks.
  • Strong communication and interpersonal skills with the ability to work effectively with employees, vendors, and cross-functional teams.
  • Comfortable working in a hands-on, onsite environment and addressing operational issues as they arise.
  • Proficiency with Google Workspace or similar productivity tools.
  • Ability to learn and navigate workplace ticketing, inventory, or facilities management systems.
  • Strong attention to detail and a proactive approach to problem-solving.

Preferred Skills & Experience

  • Experience with Jira, ServiceNow, or similar ticketing/workplace management systems.
  • Experience supporting facilities, workplace operations, office management, or space planning.
  • Experience coordinating onsite meetings, events, catering, or executive visits.
  • Familiarity with vendor management and service-level expectations.
  • Experience using reporting or workplace metrics to identify trends or operational needs.
  • Familiarity with AI or automation tools and an interest in using technology to improve workplace processes.
  • Ability to learn quickly and take ownership of increasingly complex operational responsibilities.
