Job Description

Location: St. Helena, CA

Schedule: Monday–Friday | 8:00 AM–5:00 PM (Onsite)

Salary: $90,000–$110,000 DOE

Our client is seeking an experienced Executive Assistant who is passionate about providing exceptional executive support and becoming a long-term member of a collaborative leadership team.

This is more than a traditional Executive Assistant role—it's an opportunity to become a trusted partner to the CEO while helping keep the entire office running smoothly. The ideal candidate genuinely enjoys supporting executives, creating organization, solving problems proactively, and building lasting relationships within a close-knit company.

We're looking for someone who sees Executive Assistant work as their career—not simply their next step—and is excited about growing with the company for years to come.

Responsibilities:

  • Provide primary executive support to the CEO, including complex calendar management, travel coordination, expense reporting, meeting preparation, and confidential correspondence.
  • Support the President and Director of Business Development with administrative coordination and scheduling.
  • Manage daily office operations, including supplies, vendors, facilities, mail, onboarding logistics, and workplace organization.
  • Coordinate company meetings, events, and administrative initiatives.
  • Process expense reports, company credit card reconciliations, and reimbursements.
  • Assist with select personal responsibilities for the CEO, including travel arrangements, investment property coordination, banking activities, and financial administration.
  • Build strong relationships across the organization while maintaining professionalism and confidentiality.
  • Anticipate executive needs, solve problems proactively, and independently manage competing priorities.

Experience:

  • 5+ years supporting C-level executives.
  • Strong Executive Assistant and Office Administration experience.
  • Proven experience managing complex calendars, travel, expenses, and executive priorities.
  • Outstanding organizational and communication skills.
  • Ability to prioritize multiple responsibilities with minimal supervision.
  • High degree of professionalism, discretion, and confidentiality.
  • Proficiency with Microsoft Office and Google Workspace.
