Work Schedule: Part-time, onsite, Tuesdays, Wednesdays, and Thursdays from 8:30 am to 2:00 pm

Compensation: $28.00 - $32.00 per hour


Position Summary:
We are seeking a proactive and highly organized Senior Office Coordinator to join our San Francisco office within the Presidio. This part-time, contract role is perfect for a service-oriented professional who excels at creating a polished, welcoming, and well-managed office environment. The ideal candidate will support daily office operations, assist executive and administrative teams, and ensure seamless visitor and facility experiences. This position offers an excellent opportunity to develop operational skills within a dynamic workplace.


Key Responsibilities:

  • Executive & Administrative Support: Manage document workflows, including printing, mailing, and signature collection; coordinate notary and apostille services (being a notary is a plus). Assist with general administrative tasks supporting the Workplace and Executive teams.
  • Front Office & Visitor Experience: Serve as the first point of contact for visitors, manage visitor schedules, office reservations, access cards, and prepare meeting spaces. Maintain effective communication about visitor flows and office activities.
  • Office Operations & Facilities: Maintain a clean and organized office environment, oversee common areas, conference rooms, kitchens, and shared spaces. Lead efforts to optimize workspace layout, manage kitchen inventory, handle deliveries, and coordinate vendor relations. Submit and track facility tickets as needed.
  • Financial & Purchasing Support: Track office expenses against budgets, manage recurring orders for supplies, and assist with responsible purchasing based on basic budget knowledge.
  • Meetings, Events & Culture: Support logistics for meetings, events, and social initiatives including room setups, catering, A/V support, and calendar management. Assist with company culture activities and executive visits.
  • Cross-Functional Support: Facilitate new hire onboarding, IT coordination, and offboarding processes. Collaborate with HR on employee communications and support marketing or business development efforts as required.
  • General Office Management: Handle mail, shipping, receiving, and respond to internal requests with professionalism. Perform miscellaneous duties to maintain a smooth office operation.

Required Qualifications:

  • Minimum of 3 years of experience in office coordination or administrative roles, ideally within professional services or tech environments.
  • Demonstrated ability to independently manage office operations while effectively collaborating with teams.
  • Strong problem-solving, organizational, and multitasking skills in fast-paced settings.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and standard workplace tools.
  • Ability to handle sensitive information with discretion and work closely with executives.

Preferred Skills & Experience:

  • Experience managing visitor services and space reservations.
  • Notary certification or experience coordinating notary and apostille services.
  • Knowledge of inventory management, event planning, and vendor relations.
  • Past involvement with office facilities management and troubleshooting basic IT issues.
