Job Description
Location: San Francisco, CA
Work Schedule: Monday - Friday, 9:00 AM - 5:30 PM; Onsite
Compensation: $30.00 - $35.00 per hour
Position Summary:
We are seeking a dedicated and detail-oriented Senior Office Assistant to support the Office of the General Director in a dynamic, fast-paced environment. This full-time, contract/temporary role offers an excellent opportunity to contribute to the smooth operation of a busy office while gaining valuable experience in administrative management within the arts sector. The ideal candidate will excel at managing schedules, coordinating administrative tasks, and maintaining a welcoming office environment.
Key Responsibilities:
- Manage and coordinate the General Director’s schedule, assisting with prioritization of projects and daily tasks.
- Support the Office of the General Director with various administrative duties, including expense reports, invoicing, data management, event support, and donor acknowledgment tracking.
- Handle incoming communications, manage visitors, telephone calls, and open and sort mail efficiently.
- Maintain the office environment to ensure it remains welcoming for staff and visitors.
- Update and maintain board documents and data, including committees, rosters, directories, handbooks, and orientation materials.
- Collaborate with the Chief of Staff to facilitate seamless information flow regarding donor meetings, correspondence, and upcoming commitments.
- Oversee office supplies management and perform other related duties as assigned.
- Prepare presentation materials for staff and board meetings, demonstrating proficiency in PowerPoint and other tools.
- Ensure confidentiality and exercise good judgment in handling sensitive information.
- Adapt to changing priorities and work extended hours when necessary, including some evenings and weekends.
Required Qualifications:
- Ability to work some extended, flexible hours, including evenings and weekends.
- Outstanding organizational and attention-to-detail skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook) and G Suite.
- Demonstrated experience in preparing presentation materials for professional audiences.
- Ability to work independently with strong judgment and follow-through.
- High level of discretion and confidentiality.
- Strong interpersonal skills to interact professionally with board members, staff, visitors, and volunteers.
- Prior office management or administrative experience.
Preferred Skills & Experience:
- Knowledge of operatic repertoire or performing arts is a plus.
- Experience working in arts organizations or non-profits is advantageous.
- Familiarity with calendar management and event coordination.
